1. Who we are and what this policy covers

GoVisaChina Mail Assistant is operated by GoVisaChina Inc, using the GoVisaChina brand (“we,” “us,” or “our”). Contact us at [email protected].

This policy covers Google user data and related information processed by GoVisaChina Mail Assistant. It does not describe data collected through separate visa applications, visa consulting services, or unrelated website activities.

2. Information the application accesses

When you authorize the application, it can access Gmail information needed for your requested tasks, including email addresses, senders and recipients, subjects, message bodies, timestamps, labels, and conversation history. It also processes instructions you submit and the drafts, summaries, or responses produced for you.

The application uses OAuth access and refresh tokens to maintain the access you authorize. We do not ask you to provide your Google password.

3. Why we use your information

We use this information to search and retrieve relevant email, summarize conversations, prepare drafts, send messages at your direction, and perform mailbox organization tasks you request. Access is limited to the permissions you grant and the functions described to you.

We do not sell Google user data, use it for advertising, or share it with unrelated third parties. We do not use Gmail content or data derived from it to train or improve general-purpose AI or machine-learning models, and we do not permit our processing providers to do so.

4. AI processing and service providers

Where a disclosed provider is used to perform your requested email task, only the information necessary for that task is transmitted. Any such processing must follow this policy and the permissions you provide. Service providers may not use your Google user data for their independent purposes.

Email you instruct the application to send is transmitted to the recipients you specify. Those recipients may retain or forward it independently.

We may disclose information where required by law or where necessary to investigate abuse or protect security, subject to applicable requirements. Human access to Google user data is limited to situations permitted by Google’s Limited Use requirements, such as your explicit permission to review specific information for support, necessary security investigations, or legal obligations.

5. Storage and retention

Your mailbox remains hosted by Google. The application runs on a cloud server in the United States. Application-held email data, conversation history, logs, and authorization tokens are retained indefinitely, with no automatic retention expiry, unless deleted through the applicable deletion process. Token retention does not mean that a token remains valid after expiration or revocation. Additional processing-provider locations and retention practices must be read separately below.

6. Disconnecting and deleting information

You can revoke authorization by opening your Google Account connections, selecting GoVisaChina Mail Assistant, and removing its access.

Revoking authorization prevents continued authorized access, but does not automatically erase previously stored copies or messages already sent. To request deletion of information held by the application, email [email protected] from the connected account. Please do not include passwords, tokens, or unnecessary email content. We may request information needed to verify your request.

Deleting application-held information does not delete your original Gmail messages. Messages sent to recipients cannot be removed from their accounts by deleting your application data.

7. Security

No storage or transmission method is completely secure. Contact us promptly if you believe the application has accessed your account without authorization.

8. Google API Services and Limited Use

GoVisaChina Mail Assistant’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

9. Changes and contact

We will publish updates on this page and revise the effective date. If we propose a new use of Google user data beyond the authorization and disclosures already provided, we will notify affected users and obtain consent before that use begins.
